Job Documentation

Job Documentation is the app’s per-pool photo and video record. It exists because photos captured during a single inspection are trapped inside that inspection: the next tech, the estimator, and the account manager cannot easily see the history of a pool over time. Job Documentation moves that media up a level so it lives on the pool — durable, browsable, and independent of any one inspection.

How it fits

Capturing media

Capture is work-typed: every photo or video is tagged as Product, Repair, or Remodel, with division-editable categories underneath each type. Tagging can happen at capture or later, per photo or in bulk, and captions can be added as the photo is taken.

Capture is built for bad connectivity. Photos are offline-durable: they are snapshotted to the device before anything else happens, queued in the browser, and uploaded when service returns. This is the direct result of hardening work that eliminated dropped photos and closed the orphan/duplicate gaps that low-service capture used to create. Video capture and upload, HEIC photos, and gallery uploads with editable captions are all supported.

Importing Salesforce Site Evaluation photos

Job Documentation can pull existing Site Evaluation photos from Salesforce on demand, so a pool’s documented history includes work that predates in-app capture.

Site Evaluation import is guarded against Salesforce API limits. Each import has a per-run file cap and reserves headroom against the daily request budget, and it stops gracefully rather than exhausting the org’s API quota. If an import stops early, it is protecting the whole org’s Salesforce access — run it again later to continue.

Repair alerts and the remodel checklist

  • Repair alert email — when a photo is tagged as a Repair on a documented job, an alert email goes out immediately, so a raised repair is not lost in a gallery.
  • Remodel checklist — Remodel work follows a guided checklist so a documented remodel captures a consistent set of images.

How it connects to inspections

Completing a Renovation Review (Field) automatically copies that review’s photos into the pool’s Job Documentation gallery. That is what makes the field review durable: the inspection can be closed, but the photos stay on the account.

Access

Job Documentation is gated by a configurable minimum role. It launched to Level 5 as a soft launch, and work-typed capture is designed for everyday field use, so the minimum role is set to match how each environment is rolling the feature out. Confirm the current gate before assuming a field user can see it.

Pitfalls

  • Do not treat inspection photos and Job Documentation as the same store. Inspection photos support one proposal; Job Documentation is the pool’s permanent record.
  • Do not re-run a Site Evaluation import that stopped early without waiting; it paused to protect the Salesforce API budget, and immediately retrying can hit the same limit.
  • Do not leave repairs untagged. The repair-alert email only fires when a photo is tagged as a Repair.
  • Do not assume every user can open Job Documentation; it is behind a minimum-role gate that varies by environment.
